What to put on a wedding welcome board

At minimum, your names and the wedding date. Beyond that, a warm greeting, a short quote or lyric that means something to you, and a thank-you to guests for being there. Keep it to what can be read in a few seconds — a welcome board should create a feeling, not communicate a list of information.

DIY vs hiring a professional

Where professional production makes the biggest difference is consistency. A suite produced from the same files, applied to the same surfaces, at the same time looks cohesive in photos in a way that a mix of home-made and professionally produced pieces often doesn't.

How we produce wedding signage

Vinyl printing and heat-press transfers are at the core of our wedding work. Rather than printing directly onto a fixed substrate, we print or cut vinyl and apply it to a range of surfaces — which gives us a lot of flexibility in what we can produce. Here's what that looks like in practice:

Corflute

Vinyl applied to corflute for lightweight, portable signs — welcome boards, table numbers, menus. Affordable and easy to move around on the day.

Timber & raw wood

Vinyl applied to timber boards or wood slices. Beautiful for the day — not designed for long-term outdoor use but perfect for a covered ceremony or reception. We used this for our own wedding.

Acrylic

Vinyl applied to clear, white, or coloured acrylic for a modern, premium finish. Works beautifully with gold or silver hardware for seating charts and welcome boards.

Foam board

Vinyl applied to foam board for lightweight, cost-effective indoor signage. Not suited for outdoor use but fine for ceremony and reception pieces.

Fabric & linen

Heat-press vinyl transfers onto fabric for tablecloth seating charts, bar menus, and linen welcome signs. Customer supplies the fabric — we supply the print and press it on.

Vinyl labels

Printed vinyl cut to shape, applied directly to bottles, windows, or any smooth surface. Used for wine labels, envelope seals, and custom stickers.

Mirror signs — welcome boards & seating charts

Vinyl lettering applied to a mirror is one of the most popular wedding sign styles right now. A mirror welcome sign or mirror seating chart catches light, reflects the venue, and reads as a considered design piece rather than a standard sign. The vinyl lettering sits cleanly on the mirror surface and can be removed after the event — making mirrors a great hire-friendly option for wedding stylists and planners.

You source the mirror — we apply the vinyl. Tell us the dimensions and your wording or design when you enquire.

Personalised vinyl wine labels

Custom vinyl wine labels are a beautiful wedding touch — a thoughtful detail that doubles as a take-home keepsake for guests. We print your design onto vinyl label stock; you apply them directly to your own bottles. That means you can use any wine you love rather than being locked into a supplier who offers personalised labelling as part of their product.

A note on fabric and linen

For fabric and linen pieces — tablecloth seating charts, linen welcome signs, fabric bar menus — the customer supplies the fabric or tablecloth and we apply the heat-press vinyl print. This keeps costs down and gives you full control over the fabric weight, colour, and texture. If you're not sure what fabric to source, ask us when you enquire and we'll advise on what works best for the application.

3. Seating charts: how to get them right

Assigned seats vs assigned tables

Table-only assignment is more relaxed and gives guests flexibility to choose who they sit next to within their group. Seat-assigned weddings give you more control over social dynamics and flow more smoothly for caterers, but require more detailed chart content and more planning. Either way, legibility is everything — guests need to find their name quickly.

How to create a seating chart from scratch

  • Confirm your final guest list — RSVPs need to close at least 3 weeks before the wedding.

  • Confirm table size and number from your venue.

  • Assign guests to tables — the most time-consuming step.

  • Supply your guest list and table assignments — a spreadsheet is ideal.

  • Review and approve a proof before anything is produced.

  • Collect from Newport or arrange delivery.

4. Fabric and linen signage for weddings

Why fabric works for wedding displays

Fabric has a warmth and softness that rigid signage can't replicate — and that quality shows in photos. A fabric seating chart, linen welcome sign, or fabric bar menu reads differently in a venue than an acrylic or corflute sign of the same size. The process: from brief to delivery

  • Brief and quote — clear itemised quote covering all pieces including any design fees.

  • Design or artwork — supply print-ready files, or we connect you with a designer who understands wedding aesthetics.

  • Proof approval — you review every piece before anything is produced. No surprises.

  • Production — all pieces produced from our Newport workshop.

  • Collection or delivery — arranged to suit your timeline and location.

Timelines: how far in advance to order
  • Welcome boards, table numbers, wine labels, mirror signs — allow 3–4 weeks from design approval

  • Seating charts — typically last to be finalised; we hold production slots for known upcoming jobs

  • Fabric and linen pieces — allow slightly more lead time for larger or complex pieces

  • Album wraps — allow extra lead time; enquire early so we can confirm compatibility with your album

  • Rush orders — contact us as early as possible; we'll always try to accommodate

 

Budget: how much to allocate

We don't publish set prices because an accurate quote depends on your specific pieces, surfaces, and whether design work is required.
